Terms of Services and Booking Policies

Welcome to Scarlet Studio. By booking our professional photography and videography services, you agree to the following terms and conditions:

1. Booking and Payments

A 60 percent deposit is required to officially reserve and secure your booking date. The remaining balance must be cleared according to the agreed schedule prior to or on the day of production. Bookings are not confirmed until the deposit is received.

2. Cancellation and Rescheduling Policy

Deposits are non-refundable because they secure a specific date that prevents the studio from taking other clients. If a client requests a cancellation, the deposit is forfeited. Rescheduling is permitted up to 14 days before the event, subject to studio availability. Any rescheduling requested within 14 days of the shoot will be treated as a cancellation, and rescheduling past this window will be at the studio's sole discretion and subject to a standard Late-Change Fee to cover scheduling disruptions.

3. Deliverables and Quality Standards

Scarlet Studio commits to maintaining the highest professional standards for all creative assets. Final galleries will be hosted digitally for a designated period, and clients are responsible for downloading and backing up their files upon delivery.

4. Limitation of Liability

In the rare event of equipment failure, data loss, severe illness, or unforeseen circumstances beyond our control, Scarlet Studio liability is limited strictly to a refund of monies paid. The studio is not liable for indirect or consequential damages.

5. Creative Control and Editing Style

Clients agree that they have reviewed the Scarlet Studio portfolio and are booking us based on our specific artistic style, editing choices, and creative direction. We do not provide unedited raw files under any circumstances, as the final edited assets represent our brand standard.

6. Client Punctuality and Shoot Timelines

We work strictly within the hours agreed upon in your service package. If an event or session starts late due to client delays or venue delays, that time counts toward the total package duration. Any additional coverage requested on the day of the event will be billed as overtime at our standard hourly studio rate. A strict 30-minute late grace period applies to all sessions. If a client is more than 30 minutes late to the agreed start time without prior written communication and approval, the session will be deemed a "No-Show," the shoot will be canceled, and all monies paid will be forfeited.

7. Intellectual Property and Usage Rights

Scarlet Studio retains the copyright to all images and videos captured during production. Clients receive a personal usage license allowing them to print, share, and display the media for personal use. For corporate or brand shoots, a commercial license will be explicitly outlined in the invoice or production agreement.

8. Studio Promotional Use

Unless explicitly requested otherwise by the client in writing prior to the shoot, Scarlet Studio reserves the right to use selected images and video highlights on our official website, portfolio, and social media platforms for promotional purposes.

9. Studio Rental and Third-Party Fees

Clients are fully liable for any third-party expenses incurred specifically for their booking, including rented studio spaces, location permit fees, or external equipment rentals. In the event of a last-minute client cancellation, late arrival, or no-show, the client remains responsible for 100% of these non-recoverable costs, and any additional venue hours required to complete a delayed shoot will be billed directly to the client.

FAQ

How do I book?

Kindly select a package from our Investment rate card that best suits your event, and fill out our Inquiry form with the necessary details to request an official invoice. You can also call or WhatsApp our contact numbers at any time for direct assistance. Please ensure you read our Terms of Service before making any commitments, as placing a deposit is deemed as your acceptance of our studio contract.
A standard questionnaire will be sent to you afterward to capture the precise schedule of your day. A dedicated lead or associate photographer, along with a creative director depending on your selected package, will be formally assigned to your event. We will then host a curated pre production planning meeting with you via Zoom to align on every detail.

However we may share a few highlights with you as and when we make progress with the post production process via a Dropbox link (Files are most likely to be the retouched images that come with your package. Kindly note that express services can be requested and will come at an extra charge. What time will you arrive at the event?

We will arrive at your event 40 minutes to the time of a traditional wedding but for white wedding we will be there 70 minutes (1hr 10mins) before start of actual ceremony.

When will you leave my event?

We will leave your event based on the number of hours we were booked and turnout of events on your day since we will have to ensure that your entire event is well documented regardless. As a result, the hours will start counting immediately the team gets to the agreed meeting place. You will be liable to all extra hourly charges if our time should exceed its limits based on the turnout of events and this is without any form of notice prior to the fact that you are fully aware of the hours you have subscribed and our reporting time to the event.

Will our Pictures be featured online/ Social Media?

Yes and no, Images captured by Scarlet Studios do not automatically feature on our social media platforms. Scarlet Studios reserves the right to select images (at its discretion) to feature on its social media platforms. Images created for our clients under the copyright law are considered Shared Ownership. This means that both the client and the creators (Scarlet Studios) have equal rights to the images to share and reproduce them. Full Copyright to images can, however, be requested by a client at a charge. Once a client has Full Copyright, Scarlet Studios will have no right to share, reproduce or commercialise the images without the client's permission. Some Scarlet Studios packages include automatic features on our blogs and media platforms (see Platinum Packages).

WHAT DO YOU CALL UNPROCESSED JPEGS

These are usually images that come straight from our cameras without further manipulations or edited effects. These images accurately represent your day before any manipulations/editing takes effect.

WHAT DO YOU CALL RETOUCHED IMAGES?

Although all of our pictures/galleries will usually be edited before being presented to clients, Retouching means we move the focus of our editing from the general look of your photograph to the various elements within the picture. This only means that certain flaws noticed in the elements within the image, such as messed up hair, patchy makeup, rough skin, protruding stomach, and other wanted/unwanted parts, will further be corrected by eliminating or adding to the picture for an entirely glowing effect on images. Furthermore, other Photographic filters and colour grading can be added to the photograph when necessary to produce a unique and outstanding appearance. It’s almost like the perfect picture.

WHAT IS YOUR CANCELLATION POLICY?

We do hope clients do not cancel their bookings before their special day, but if this happens, the booking fee of 50% of the package chosen will be non-refundable—request contracts for further information on this.
